ETS-TA Quick Reference

SETTING UP

The setup for Time Attendance must be done prior to the first time using the ETS – TA. You can also change the current setup by selecting the Pentagon 2000 Software logo (double-click). The below Interface Setup window will appear:

NOTE: To exit this screen click ESC.

 

  1. The following fields must be entered for accurate calculation of the User / Employee attendances –
    1. ETS Server IP Address – based on the Setup in the Administration
    2. ETS Server Port – based on the Setup in the Administration
    3. Company No – must be defaulted to the Company Users log into daily
  2. When all setup changes have been made, click OK to save or Cancel to back out.
  3. You will see the following Information window once the ETS – TA has been configured properly. [image pending]
  4. If the IP Address is incorrect, the ETS – TA will not connect and you will see the following message: [image pending]
  5. If you need to re-configure the correct IP Address and Port numbers, simply double-click on the Time Attendance Pentagon 2000 Software Logo.

 

ADMINISTRATION SETUP

The setup of the ETS IP address and port numbers must be defaulted in the Administration – Server and Tasks Setup. See the following example of the Server and Tasks Setup screen –

NOTE: The server must be running prior to using the ETS – TA. A green light indicates the selected server is running. [image pending]

NOTE: All of the ETS TA is based upon shifts. The user must be assigned to a shift in order to use the ETS TA.

  1. Build the shift
    1. Admin – Pentagon Users & Groups – Attendance Shifts [image pending]
    2. Each Shift will be assigned one of the three types (A, B, C) which represent payment types.

      [EXAMPLE] the day shift would be A and the night shift B.
    3. Shift overtime can be defined as well.
    4. If an employee works more than 6 hours overtime, then the time after the 6 hours will calculate as the last type defined.
    5. The user does not need to punch the clock when going on breaks as defined in the shift, but if the user needs more time than allotted for the break, they will need to punch out of the ETS system.
    6. If the gross duration time is defined as 5 hours, then the user should be recorded in the ETS for 5 hours that shift.
    7. Shifts can be defined in parallel time
  2. Assign a user to a shift
    1. Admin – Pentagon Users & Groups – Assign Users Shifts [image pending]
    2. Users can be assigned to different shifts in different periods or they can be assigned to more than one shift in the same day or period as long as there is no conflict.
  3. Absence
    1. Admin – Pentagon Users & groups – Employee Absence Type
    2. Absence type can be measured by hours, full day, or half day.
    3. Absences are added to a user with the Absences button. Full Days or Half Days are calculated based on user definitions in the user screen.
  4. Holidays:
    1. Admin – Pentagon Users & Groups – National Holidays
    2. Holidays are not included in the calculations if the flag is not marked.
  5. User/Employee Information: Admin – Pentagon Users and Groups – User List – Select User – Salary Tab
  6. Daily Activity Report
    1. Reports – Operations – Employee Attendance (ETS TA) – Daily Activity
    2. You may choose to display Daily Activity on a specific day for all users or for a selection of users:
      1. Start displays the first punch in of the day
      2. End displays the last punch out of the day
      3. Daily Reg Hrs displays the total for the day (not including breaks).
      4. Daily OT Hrs displays the OT time if the user works more hours than their assigned shift.
      5. Exception displays remarks such as “Early in, Late out”, etc.
      6. Weekly Reg Hrs displays the total regular hours from the beginning of the week until the selected date.
      7. Weekly OT Hrs displays overtime hours from the beginning of the week until the selected date.
  7. Beginning of the Week
    1. The default setting for the beginning of the week is Monday, unless Sunday is marked on the company setup.
    2. Admin, System Setup, Company/Div/Dept Setup, Select Company, Com/Docs Tab)
  8. Weekly OT Hrs calculations are weekly or daily based on the user definition in the user screen. (Monthly and Weekly are the same for this report).

 

TIME ATTENDANCE – ETS TA

The Time Attendance Module is a simple interface solution provided by Pentagon 2000 Software to maintain Employee Attendance.

  1. The company Users Enter and Exit time will be calculated by the User inserting the following –
    1. Insert the User / Employee Code
    2. Hit Enter to submit
  2. Once the User has been entered into the ETS – TA, you will see the following screen confirming the User’s Name: [image pending]
  3. The ETS – TA indicates if the User is logging in or out for the day with a message stating:
    1. Welcome – entering the ETS Time Attendance record
    2. Goodbye – exiting the ETS Time Attendance record
  4. The Time & Attendance window should remain open for other Users to access.

 

VIEW TIME ATTENDANCES

The User / Employee Time Attendances can be viewed in the Employee Attendance report as shown here:

  1. It can be accessed in the Reports Menu –
    1. Operations Sub Menu
    2. Employee / Security Reports
    3. Employee Attendance
  2. Based on the report’s filter criteria (Work Dates and / or Employee Code) the system will calculate and generate your results as shown:[image pending]

    If the User is still logged into the ETS – TA, the Day Worked hours will not calculate a Grand Total. The End Time will = 00:00.
  3. With ETS TA reports you can quickly and easily gather specific scheduling information on single or multiple employees. The following will walk you through the steps to set up user information and generate reports containing scheduled hours, productivity tracking, and availability management.
  4. In order to run a test, first you need to make sure your server is set as the main server. Go to Main Server Settings < Admin < System Setup < Servers and Task Setup
  5. From your build directory run “Server.Exe”
  6. Then run the ETS TA and enter “Records”
  7. All Reports for ETS TA can be found under: Reports – Operations – Employee Attendance (ETS TA).
