Publications Manager (PuMa), like a virtual library, allows you to maintain
one reference point for all of your relevant electronic publications.
With PuMa you have the ability to attach a single publication to multiple
Part Numbers, Part/Serial number combinations, Engines, Aircraft, Aircraft
Scopes, and maintenance cards. Once attached, any revision of a publication
will affect every linked item automatically. PuMa also enables you to
create temporary publications as well as attach and scan documents directly
to a publication.
- Activate
Publication Module
NOTE: Once
the PuMa is activated, you can no longer author a publication directly
from the Part Number, Aircraft, etc. All publications must be authored
and linked through PuMa.
- Go to Administration
- Select System Setup
- Double click System General Defaults
- Click the General Settings tab
- Scroll to the bottom and put a checkmark
in the box marked Use New Publications Module (Example shown below)
- Click OK
- A message box will appear telling you
that changes will take place after you re-log in to Pentagon
- Go to File in the upper right hand corner
- Select Company Log In…
- Re-enter your password and log in to
Pentagon
- Set Up
Applications
A reference of where the part, etc. can be applied; what it pertains
to.
- Enter PuMa through Operations; Open Publications;
double click Applications.
- Click the Add button in the bottom left
corner of the window.
- Fill out the appropriate Information
on both the Info and Reviewed By tabs.
- Set Up Manuals
Documentation containing information and instructions in regards to
an operation for a specific part or unit.
- Enter PuMa through Operations; Open Publications;
double click Manuals.
- Click the Add button in the bottom left
corner of the window.
- Fill out the appropriate Information
on both the Info and Reviewed By tabs.
- The Temporary tab may be utilized to
note an expected revision and the date thereof.
- Under the Info tab, the Source of Revision
field links you to the P.O. that called for the revision.
- Set Up Drawings
A visual reference related to the Part number undergoing maintenance
or involved in a higher maintenance job; could be a CAD drawing or
a rendering.
- Enter PuMa through Operations; Open Publications;
double click Drawings.
- Click the Add button in the bottom left
corner of the window.
- Fill out the appropriate Information
on both the Info and Reviewed By tabs.
- Set Up Bulletins
Service announcements issued by the Manufacturer or an Operations department.
- Enter PuMa through Operations; Open Publications;
double click Bulletins.
- Click the Add button in the bottom left
corner of the window.
- Fill out the appropriate Information
on both the Info, General, and Reviewed By tabs.
- Under the General tab, in order to assign
the Type of S/B and Type of Bulletin you must create these tables
in the Administration menu.
- Go to Administration; click Stock
Tables List By Code; double click either Type of S/B or Type
of Bulletin.
- Click the Add button and fill out
the fields to create the tables.
- Also under the General tab the Link Bulletin
field allows you to link multiple bulletins together.
- Set Up Directives
Specific guidance or instructions relating to Service Bulletins. (Responses)
- Enter PuMa through Operations; Open Publications;
double click Directives.
- Click the Add button in the bottom left
corner of the window.
- Fill out the appropriate Information
on both the Info, General, and Reviewed By tabs
- Under the Info tab there is a button
labeled S/B, this will link you the service bulletin that called
for the directive.
- Linking
Publications
In order to link a publication to a Part Number, Aircraft, etc. you
must first enter the PuMa through the Operations menu. Open the PuMa
and select which type of publication you would like to link by double
clicking the appropriate listing. A new window will appear; select
the publication you desire from the list and click the View button
to open it. Click the Links button at the top and select from the
drop down menu the item you wish to link to the publication. A new
window will appear, click the Add button; a searchable list of items
will appear. Select the item you wish to link to the publication and
click OK. Click Close. The linked item will now appear under a tab
within that publication.

Work Orders
When a manual is linked to a part number that is to be included in
a work order, you must be sure that the manual is up to date. If the
manual is out of date, you will receive an error message and will
not be able to create the work order until someone reviews that manual
and determines whether or not it is still current.
- Adding
Documents to Publications
Each of these publications, once created, will need to have the relevant
documents or drawings added to them. Providing that you have all of
the relevant manuals, drawings, and other documents already in electronic
form on your hard drive, this is a simple process. If you do not have
electronic/digital versions of these documents, they will have to
be scanned into your system or otherwise acquired.
- Add
Documents From File:
- Select
from the publications menu the type of publication you wish to
add documents to.
- Choose
an entry from the list and click the View button.
- To add
any document from your files, click the Docs button.
- A new
window titled [ Documents List ] will appear.
- Click
the Add button.
- A new
window titled Record View will appear.
- Select
from the drop down list the file you desire to attach to this
publication.
- Click
OK
- The
document/file will now appear in the documents list.
- Clicking
the View button will open the document specified and you will
be able to read or modify it accordingly.
- Add Images:
- Select from the publications menu the
type of publication you wish to add documents to.
- Choose an entry from the list and click
the View button.
- To add images from your files, click
the Images button.
- This will open the window “Pentagon 2000
IMAGEination”
- From the File menu select “Attach New
Image”. This will open a “Load Dialog” window from which you can
select an image from your network or hard drive. Select the desired
image and click Open.
- An “Image Info” window will appear where
you may enter in the relevant information and notation pertaining
to the image.
- Clicking OK will display the image in
the IMAGEination window.
