Purpose:
To
describe the functionality of the Close Multiple
Course per Employee feature within the Employee
Training module.
This feature was designed to be used in situations where a single employee
is required to take numerous courses at one time (i.e. a new hire or annual
proficiency exams). Rather
than having to open each course, open each training class, complete each
training class, and close each training class; the Close
Multiple Course per Employee feature makes the process much faster
and easier. This feature
allows all open training classes for a single employee to be completed
and closed in just a few clicks.
- From the Employee
Training Management Menu window, double-click .
NOTE: This
feature may also be accessed from the ribbon(n) display element where toolbars appear as tabs which (when selected) display buttons which act as menu selections or which may also expand to sub-menus
or shortcut menu(n) in Pentagon, a display element where a toolbar contains buttons that (when selected) display a drop down menu containing selections which may also expand to sub-menus. Left-click
Operations, go to , and left-click .
- The Assign
User To Multiple Courses window will appear.
- Identify the employee for which multiple
courses need to be closed.
NOTE: To
complete the User field, the employee
must be listed in the User
List.
- Left-click the User
field.
- The Users List
search window will appear.
- The appropriate user may be selected by double-clicking the applicable record or by highlighting the
applicable record and left-clicking the OK
button.
- The list of employee training records (that
have not already been closed) will appear.
- Left-click the line that corresponds to the
employee training record that needs to be completed and update as
follows:
- Left-click the check box in the Passed column to indicate that the employee
passed the class.
The Passed flag
must be checked
in order for the skills earned by the training class to appear
on the Skills tab of the employee's
user file.
- Indicate the grade received by the employee.
- Left-click the Grade
field.
- The Course
Grading Codes search window will appear.
- The
appropriate grade may be selected by double-clicking the applicable record or by highlighting the
applicable record and left-clicking the OK
button.
- Indicate the date on which the skills
earned or demonstrated during the training course are no longer
valid for the organization.
- Left-click the drop down button
in the Good
Until field.
- The clock widget will appear. Left-click
the appropriate date.
NOTE: The
date may also be manually typed.
- Ensure that the Attended
From and Attended To fields
are correct.
- Ensure that the Missed
Days and Missed Hours fields
are completed.
- After each line has been completed, close
the training records by left-clicking the Update
button in the Close Multiple Course per
Employee window toolbar.
NOTE: Once
the status has been changed to Closed,
the status cannot be changed and no information may be added or changed
on the employee training record. Ensure all information is correct
prior to changing the status to Closed.
