Purchase Orders Quick Reference

Purpose: The Purchase Order feature within eCommerce allows a user to create and submit a purchase order to the vendor.

Add/View Purchase Order Cart

1. From the eCommerce window, left-click the Purchase Orders tab and then left-click Add/View New Order.
   
   
2. The Purchase Order Cart page will appear.
   
   

Add a Part Number to Purchase Order Cart From Parts Search

1. Search for the part number using the Parts Search feature.
2. When the Parts Search Results Grid appears, left-click the Edit link in the Action column. Two links (Submit and Cancel) will replace the Edit link.
3. Ensure the value of the drop down field in the RFQ/Buy column is Buy.
4. Adjust the quantity in the Qty Req column
5. Left-click the Submit link in the Action column to add the part to the Purchase Order Cart.

Add a Part Number to Purchase Order Cart Manually

1. From the Purchase Order Cart, left click the Add New Line button in the lower left of the window. The Edit Form dialog box will appear.
   
   
2. Complete the necessary fields and left-click the Submit button in the lower right of the dialog box.
3. The line will appear in the Purchase Order Cart results grid.

Edit an Existing Purchase Order Cart Line

1. Left-click the Edit link in the Action column of an existing line. The Edit Form dialog box will appear.
2. Modify any of the available fields and left-click the Submit link.
3. The line will be updated in the Purchase Order Cart.

Preview the Purchase Order in PDF

1. Left-click the Preview in PDF button in the upper right of the Purchase Order Cart.
   
   
2. The purchase order will be created and open in a PDF viewer within the browser window.

Submit the Purchase Order

1. Left-click the Submit Order button in the upper right of the Purchase Order Cart.
2. The purchase order will be created and submitted to your vendor.

List Pending Orders

1. From the eCommerce window, left-click the Purchase Orders tab and then left-click List Pending Orders.
   
   
2. The Pending Orders page will appear.
   
   

View Purchase Order Line Information

1. Left-click the icon to the left of the purchase order row for which you would like to view line information.
2. The line information will appear in an expanded grid.
   
   

View Purchase Order Details

1. Left-click the icon in the View PO column associated with the purchase order you would like to view.
2. The Purchase Order Status Details page will appear.
   
   

Purchase Order Status

1. From the eCommerce window, left-click the Purchase Orders tab and then left-click Purchase Orders Status.
   
   
2. The Purchase Order Status List page will appear.
   
   

Search Purchase Orders

1. In the Purchase Order Status Search group box, enter relevant information in the available fields and left-click the search button.
   
   
2. The grid on the Purchase Order Status page will be filtered to include only those which match the search criteria.

View Purchase Order Line Information

1. Left-click the icon to the left of the purchase order row for which you would like to view line information.
2. The line information will appear in an expanded grid.
   
   

View Purchase Order Details

1. Left-click the icon in the View PO column associated with the purchase order you would like to view.
2. The Purchase Order Details page will appear.
   
   

Purchase Order Shipping Status

1. From the eCommerce window, left-click the Purchase Orders tab and then left-click Shipping Status.
   
   
2. The Shipping Status page will appear.
   
   

Search Purchase Orders

1. In the Purchase Order Shipping Status Search group box, enter relevant information in the available fields and left-click the search button.
   
   
2. The grid on the Shipping Status page will be filtered to include only those which match the search criteria.

View Purchase Order Line Information

1. Left-click the icon to the left of the purchase order row for which you would like to view line information.
2. The line information will appear in an expanded grid.
